General Payment Information

  • Payment is due at the time of enrollment.
  • We accept checks and credit card payments.
  • Extension does not accept cash payments.
  • Once your payment has cleared, you will receive an enrollment confirmation email.
  • There is a $25 fee for returned checks.
  • On the first day of class, if space is available, you may register and pay your fees online only.

 

Employer Purchase Process

An employer or organization can pay for a course for an employee or affiliate using a corporate card or purchase order.

The Registration Process

1) Third-Party Purchaser Account

Contact Student Services at extension@ucsc.edu to request the creation of a new third-party purchaser account.

If you already have a purchasing account, you may request the processing of new enrollments under that account.

Requests must be made on organization letterhead or in a formal email that includes the following:

    • Purchaser’s name
    • Purchaser’s phone number
    • Purchaser’s email
    • Company address
    • Number of students planning to enroll
    • Course title, section number, dates, and tuition fee per student
    • Payment method
    • Copy of W-9 (include EIN / Tax Number)
2) After submitting your request

We will create your purchaser account and send you an email with instructions for setting up a web login for the account.

Or, we will use the information provided to verify a current, existing account.

3) Individual Employee Enrollment Period

Instruct your employees/students to submit the Enrollment Form.

If an employee already has a student account, please have them submit their form and then contact Student Services to verify their existing account. They may need to update their demographic information.

Registration will not proceed until all forms are received. It is the student’s responsibility to submit forms in a timely manner. 

4) Student Account Login

New students will receive a link to set up their web logins. Students must set up their web logins in a timely manner to gain access to the course via Canvas.

Then they need to set up their Canvas logins. Existing students can log in anytime and reset their Canvas passwords if necessary.

Purchase Orders

If your employer is paying for your tuition using a purchase order, please contact our Finance Department at extfin@ucsc.edu.

 

Group Discounts

Employers may qualify for the following discounts if they meet the requirements below:

  1. Register all students from one organization in the same, individual course.
  2. Request the group discount at the time of enrollment and not retroactively.
  3. Follow the enrollment procedure outlined above and inform Student Services that you want to use the applicable group rate discount in the form.

We'll apply your discount when we process your registrations.

  • Registration of 5–10 students will receive a 10% discount.
  • Registration of 11–19 students will receive a 20% discount.
  • Registration of 20–29 students will receive a 30% discount.

 

Late Registrations to a Group

Additional students signing up after a group registration are required to pay the full tuition fee.

Cancelations/Course Swap

Cancelation of registrations must be submitted by the student via the Drop Request Form according to the drop policy.

Course swap requests are not applicable for group registrants.

 

International Third-Party Enrollments

International companies or schools interested in enrolling students can learn more about their options by contacting extensioninternational@ucsc.edu.

 

Custom Online Courses

Custom online courses offered by third-party vendors are not eligible for group discounts.

Insurance or Worker’s Compensation Vouchers

If a student is enrolling in courses using an insurance or worker’s compensation voucher, they need to send a copy of the complete voucher and Enrollment Form to extension@ucsc.edu.

 

Other Grants, Sponsors, and Third-Party Purchasers

All funds received from sponsors will be processed as payments. They will be deposited into the receiving student’s account for unrestricted use.

UCSC Silicon Valley Extension is not responsible for ensuring the student recipient uses funds in a manner intended by the sponsor. This responsibility rests solely with the student.

The student recipient is also responsible for reporting satisfactory academic progress to a sponsor organization if required. To do so, the student can order an official transcript.

Any other grant vouchers must be sent directly to UCSC Silicon Valley Extension and include:

  • Student contact information
  • Information showing that funds are applicable to a non-degree certificate program or course.

The agency or sponsoring payer will be invoiced for payment of funds upon enrollment and will be due upon receipt.

To be enrolled in requested courses, students must fill out an Enrollment Form each quarter.

 

Student Private Loans

UCSC Extension students can apply for a private student loan that includes course fees and textbook costs.

Financial Aid

UCSC Extension certificate programs are not currently eligible for federal financial aid.
